Welcome to Axiora's legal documentation. This page contains our Terms of Service, Privacy Policy, and Refund Policy. These documents outline your rights and responsibilities when using Axiora, how we handle your data, and our refund procedures. Please read these documents carefully. By using Axiora, you agree to these terms and policies.

1. Terms of Service

Effective Date: March 28, 2026

1.1 Acceptance of Terms

By creating an account on Axiora, you ("User," "you," or "your") agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you may not create an account or use the Axiora platform. Your continued use of Axiora after any modifications to these Terms constitutes acceptance of the updated version.


1.2 Description of Service

Axiora is a desktop application designed for single-file data analysis, supporting CSV and Excel formats. The Service allows you to:

  • Upload a data file and receive an AI-generated summary, including business domain identification, process detection, and data insights
  • Generate analysis questions that are automatically converted into interactive charts within a customizable dashboard
  • Receive AI-generated business recommendations
  • Interact with your data through a conversational chat interface
  • Share reports with other users via the .axr file format
  • Export reports as PDF or PowerPoint files

Axiora consists of two parts: the Website (axiora.software), where you can learn about the product, download the application, manage your subscription, and track usage; and the Desktop Application, where all data analysis takes place.

AI Processing: Axiora uses external Large Language Model (LLM) APIs to power its analysis features. When you use AI-powered features, your prompts are sent to Axiora's servers and forwarded to the LLM provider. No raw dataset, dataset metadata, AI prompts, or AI responses are stored on Axiora's remote servers. All such data remains on your local device. Only your account information and usage metadata are stored remotely.


1.3 User Eligibility

Axiora is available to any individual or entity capable of entering into a binding legal agreement under applicable law. By creating an account, you represent that you have the legal capacity to accept these Terms.


1.4 User Responsibilities and Prohibited Conduct

You are solely responsible for how you use Axiora and the data you upload. By using the Service, you agree not to:

  • Upload, process, or analyze any data that is illegal, stolen, obtained without authorization, or that violates any applicable law or regulation
  • Use the Service for any unlawful purpose, including but not limited to fraud, money laundering, or any activity that violates local, national, or international law
  • Attempt to reverse-engineer, decompile, disassemble, or otherwise attempt to derive the source code, algorithms, or underlying technology of the Axiora application or its servers
  • Spam, abuse, or attempt to overload Axiora's servers or API endpoints through excessive, automated, or unauthorized requests
  • Share, sell, transfer, or allow unauthorized access to your Axiora account credentials
  • Attempt to circumvent any usage limits, subscription restrictions, or security measures
  • Use the Service to harm, harass, or infringe upon the rights of any third party
  • Introduce malware, viruses, or any malicious code through the Service

Axiora reserves the right to suspend or terminate your account immediately if you violate any of the above.


1.5 Intellectual Property

Axiora's IP: The Axiora software, application, website, branding, trademarks, and underlying technology are the exclusive intellectual property of Axiora. Nothing in these Terms grants you any rights to Axiora's software, code, or brand.

Your IP: All data files you upload, as well as all reports, charts, insights, dashboards, and analysis outputs generated from your data, are and remain your exclusive property. Axiora does not claim any ownership over your data or the outputs you generate using the Service. You are solely responsible for ensuring you have the right to upload and process any data you submit.


1.6 Account Termination

Termination by You: You may delete your account at any time through the account settings on the Axiora website.

Termination by Axiora: Axiora reserves the right to suspend or terminate your account without prior notice if you violate these Terms, engage in fraudulent activity, or abuse the Service.

Post-Termination Conditions: Upon account deletion or termination:

  • If you have never subscribed to a paid plan (free trial users only), your account will be permanently closed immediately
  • If you have previously subscribed to at least one paid plan and do not have an active running plan with remaining tokens, your account will be closed but restorable within 3 months of the termination date
  • You may not create a new Axiora account using the same email address associated with a terminated account
  • Any active subscription with unused tokens at the time of termination will be forfeited without refund, unless otherwise required by applicable law

1.7 Disclaimers and Limitation of Liability

The service is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

Axiora shall not be liable for:

  • Any data, reports, or analysis outputs you choose to share with third parties through or outside of the Axiora application
  • Any unauthorized access to your device, local storage, or files resulting from third-party actions, including hacking, malware, or security breaches on your own hardware or network
  • Any actions taken by the LLM provider with respect to data transmitted during AI processing, including but not limited to any use of transmitted data for model training or any other purpose governed by the LLM provider's own policies
  • Any indirect, incidental, consequential, or punitive damages arising from your use of or inability to use the Service
  • Loss of data or business interruption

You acknowledge that AI-generated outputs, including summaries, insights, recommendations, and chart data, are generated automatically and may not always be accurate. You are solely responsible for validating any analysis before making business decisions based on it.


1.8 Payments and Billing

All payments for Axiora subscriptions are processed by Paddle (paddle.com), our authorized Merchant of Record. This means that when you purchase a subscription:

  • You are transacting directly with Paddle, not with Axiora
  • Paddle is the legal seller of record and is responsible for processing your payment, issuing invoices, and handling applicable taxes
  • Your payment information (credit card details, billing address, etc.) is collected and managed exclusively by Paddle and is never seen or stored by Axiora
  • Paddle's own Terms of Service and Privacy Policy apply to all payment transactions. We encourage you to review them at paddle.com

Subscription access, token quotas, and plan features are managed by Axiora and governed by these Terms.


1.9 Governing Law and Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of the United States. Any disputes arising from these Terms or your use of the Service shall first be attempted to be resolved through good-faith negotiation. If a resolution cannot be reached, disputes shall be submitted to binding arbitration in accordance with applicable United States arbitration rules.

Note: Disputes related to payment transactions are subject to Paddle's own dispute resolution process, as Paddle is the Merchant of Record for all purchases.

1.10 Changes to These Terms

Axiora reserves the right to modify these Terms at any time. If material changes are made, you will be notified via email sent to the address associated with your account at least 14 days before the changes take effect. Your continued use of the Service after the effective date constitutes your acceptance of the revised Terms.

2. Privacy Policy

Effective Date: March 28, 2026

Axiora ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your personal data.


2.1 What Data We Collect

We collect the following categories of information:

Account Information:

  • Full name
  • Email address

Usage Metadata:

  • Number of reports created
  • Number of rows in datasets analyzed (not the dataset itself)
  • Which AI features were used (summary, recommendations, dashboard, chat)
  • Number of charts generated per report
  • Number of chat messages exchanged per session
  • AI model used per request
  • Token consumption per request (input tokens, output tokens, total)
  • Subscription plan and remaining token quota
  • Timestamps of activity
Important: We do not collect, store, or transmit your dataset contents, dataset metadata, AI prompts, or AI-generated analysis outputs to our remote servers. All of this data stays on your local device.

2.2 How Data Is Collected

We collect your data through the following means:

  • Account registration forms on the Axiora website when you sign up
  • Automatic usage tracking within the desktop application, which records activity metadata (as described above) and sends it to our servers in real time during your sessions

2.3 Why We Collect Your Data

We use your data for the following purposes:

  • Service delivery: To authenticate your account, manage your subscription, enforce token quotas, and provide access to the Axiora application
  • Usage analytics: To understand how the product is used, improve features, and monitor system performance
  • Cost tracking: To accurately track AI token consumption and manage subscription billing
  • Communication: To send you important account notifications, subscription updates, and updates to these policies

2.4 Who We Share Your Data With

We do not currently sell, rent, or share your personal data with third parties for advertising or commercial purposes.

Paddle (Payment Processor & Merchant of Record): All subscription payments are processed by Paddle. When you make a purchase, Paddle collects and processes your payment information (card details, billing address, etc.) directly. Axiora does not receive or store your payment data. Paddle's collection and use of your payment information is governed by Paddle's own Privacy Policy, available at paddle.com.

In the future, we may share limited data with:

  • Business partners who help us deliver or improve the Service
  • Advertisers, in aggregated and anonymized form only

We may also disclose your data if required to do so by law, court order, or governmental authority.

We will update this Privacy Policy and notify you by email before any such sharing arrangements begin.


2.5 Data Retention

  • Account information and usage metadata are retained indefinitely while your account is active and after account deletion, subject to the conditions below
  • Upon account deletion, your account details are retained for 3 months to allow for account restoration
  • Your email address is retained permanently after account deletion solely to prevent re-registration with the same email

2.6 Your Rights and Controls

You have the following rights regarding your data:

  • Access your reports: From within the desktop application, you can view and manage all locally stored reports and analysis data
  • Delete local data: You may delete any reports or uploaded data directly from your device at any time
  • Delete your account: You may request account deletion through your account settings on the Axiora website. Upon deletion, your account information will be scheduled for removal after a 3-month retention window
  • Usage data: Usage metadata associated with your account is retained even after account deletion for internal analytics purposes, in a form that does not identify you beyond a user record
  • Data requests: For any questions or requests regarding your personal data, contact us at contact@axiora.software or support@axiora.software

2.7 Cookies

Axiora does not use cookies. No tracking cookies, advertising cookies, or analytics cookies are placed on your device through the Axiora website or desktop application.


2.8 Third-Party LLM Processing

When you use AI-powered features in Axiora, your prompts are transmitted from your device to Axiora's servers and then forwarded to a third-party LLM provider for processing. The LLM provider's response is then returned to your device. Axiora does not store these prompts or responses on its remote servers. However, the LLM provider's own privacy policy and data practices apply to any data transmitted to their systems. We encourage you to review the applicable LLM provider's privacy policy.

2.10 Changes to This Privacy Policy

We reserve the right to update this Privacy Policy at any time. Material changes will be communicated to you via email at least 14 days before taking effect.

3. Refund Policy

Effective Date: March 28, 2026

Axiora wants you to be satisfied with your subscription. All payments are processed by Paddle (paddle.com) as our Merchant of Record. Paddle's Buyer Terms apply to all purchases made through our checkout.


3.1 Refund Window

You may request a refund within 14 days of your purchase date, in accordance with Paddle's refund policy. Refund requests submitted after 14 days of the purchase date will not be eligible.

To request a refund, contact Paddle directly through their support or submit your request to us at support@axiora.software and we will coordinate with Paddle on your behalf.


3.2 Refund Processing

All refunds are processed by Paddle as the Merchant of Record:

  • Approved refunds are returned to your original payment method in USD
  • Processing time is typically up to 5 business days from approval, though your card issuer or bank may take additional time to reflect the credit
  • No fees are deducted by Axiora

3.3 Plan Downgrades (Business to Pro)

If you are on the Business plan and wish to move to the Pro plan, we offer a goodwill downgrade option at our discretion. If granted:

  • You will be moved to the Pro plan with the same start date as your Business plan purchase
  • Your consumed tokens will be recalculated against the Pro plan's quota

To inquire about a downgrade, contact us at support@axiora.software. This is a discretionary accommodation and not a guaranteed entitlement.


3.4 Account Access Upon Refund

Upon a confirmed refund, your account access and remaining token quota will be revoked. Accounts that obtain a refund may not be eligible to create a new Axiora account using the same email address.
